How to Compare a Wedding Catering Quote in Italy
Plates, linens, staffing, logistics and a statement dessert can significantly change the real cost of catering. Here is what to check before comparing proposals.

Start with a precise brief
A caterer may prepare the menu, provide the service, or also coordinate equipment rental. Before requesting quotes, clarify every element you expect to be included.
Share the date, venue, guest count, service times, reception format and distance from the kitchen or service area. Also specify whether you want a seated dinner, buffet or a combination.
- Expected number of adults and children
- Desired menu, aperitif and drinks
- Plates, glassware, cutlery, tablecloths and napkins
- Service staff, setup, breakdown and cleaning
- Dietary requirements or venue restrictions
Ask exactly what the rental includes
The phrase “equipment included” does not always mean the same thing. A quote should clearly identify the items supplied, their quantities and the related services.
Ask whether transport, delivery, table setting, collection and washing are included. Confirm who is responsible for breakages or missing items, and where the equipment will be stored before service.
- Detailed list of plates, glasses and cutlery
- Tablecloth type and dimensions
- Number of changes during the reception
- Separate transport and staffing costs
- Setup, collection and cleaning arrangements
Check whether the statement dessert is practical
A tiramisu served as a champagne tower can be an original idea, but it needs a clear plan. It is not enough to know that the caterer makes tiramisu: you also need to understand how the structure will be supported, chilled and served.
Ask for a visual proposal or a description of the final presentation. Confirm the base’s stability, how long it can remain out of refrigeration, the actual number of portions and how guests will be served. If the venue has specific rules for kitchens, refrigeration or food service, have them confirmed in advance.
- Structure dimensions and materials
- Refrigeration and transport method
- Guaranteed number of portions
- Backup option for heat, wind or limited space
- Allergens and possible dessert adaptations
Compare like with like
Compare proposals based on the same guest count, menu and service level. A lower price may exclude rentals, drinks, staffing or logistics.
Also ask which amounts are taxable, which taxes apply and whether any line items may change. For a lakeside venue or a hard-to-reach location, request clear access conditions and logistics details.
- Per-person price and overall total
- Included and excluded services
- Possible logistics surcharges
- Terms for changing the guest count
- Operational contact and coordination with the venue
